Account & Organization Information
When you sign up for Lexsis AI, we collect information about your organization and account, including:

- Contact email and your role within the organization
- Billing details, which are processed securely by third-party payment providers. We do not store full payment card information
Data You Connect Through Integrations
When you connect third-party sources to the platform, such as support platforms, review sites, CRMs, ecommerce systems, analytics tools, and social channels, we process data from those sources to deliver insights, power AI features, and enable AI Agent responses. The categories of data we may process include:
- Support tickets from connected helpdesk and support platforms
- Customer reviews from connected review and feedback sources
- Survey responses from connected survey tools
- Transaction and purchase data from connected ecommerce and subscription platforms
- Behavioral and usage analytics from connected analytics tools
- Social media mentions and messages from connected social channels
- CRM records from connected customer relationship management platforms
You control which integrations are connected and can revoke access at any time.
Customer Conversations Processed by AI Agents
When you enable our Customer Experience Agents, we process conversation content across your connected channels, including web chat, in-app chat, Messenger, voice calls, WhatsApp, SMS, email (Gmail/Outlook), Instagram, X/Twitter, TikTok, Zendesk, Intercom, and Gorgias. The data processed includes:
- Message content: the text, media, and attachments exchanged in conversations
- Customer identifiers: names, email addresses, phone numbers, or account IDs as provided in the conversation
- Channel metadata: the platform, timestamp, conversation thread identifiers, and routing information
- Conversation history: prior messages within the same thread or customer context
AI Agents process this data in real-time to generate and deliver responses on your behalf.
Website Visitor Information
When you interact with our website, we may collect information through:
- Contact form submissions: name, email, company, subject, and message
- Newsletter signups: email address
- Blog content downloads: email address
- Feedback widget submissions: feedback text, name, email, source URL, browser information, and optional file attachments (up to 10MB)

AI and Model Training
We take a clear stance on how your data interacts with our AI systems:
- By default, your data is NOT used to train our machine-learning models. This applies to all data you connect through integrations, conversations processed by AI Agents, and any other information you provide.
- Model improvements are driven by anonymized, synthetic, or publicly available data.
- AI Agents use large language models to generate responses to your customers. Your conversation data is processed in real-time to produce these responses but is not retained for model training.
- Optional data usage for model improvement is available only through an explicit opt-in under a separate Data Processing Addendum. We will never use your data for training without your written consent.
AI-Powered Customer Experience Agents
This section describes how our AI-powered Customer Experience Agents work and how data is handled when you enable them.
- How Agents work: When enabled, AI Agents interact with your customers on your behalf across your connected channels (web chat, in-app chat, Messenger, voice, WhatsApp, SMS, email, Instagram, X/Twitter, TikTok, Zendesk, Intercom, Gorgias).
- Data processed: Agents process conversation content, customer identifiers, channel metadata, conversation history, and your brand configuration and response guidelines to generate contextual replies.
- AI-generated responses: Agents generate responses using AI. These responses may occasionally be inaccurate or incomplete. We recommend reviewing Agent performance regularly.
- Human escalation: Agents can escalate conversations to your human team based on your configuration rules, such as sentiment thresholds, topic categories, or customer requests.
- Your responsibility: You are responsible for configuring Agent behavior, reviewing performance, and ensuring appropriate use within your organization.
- Data usage: We process conversation data solely to deliver the service. We do not use conversation data to train models unless you explicitly opt in under a separate agreement.
Integration Data Flows
When you connect third-party services to Lexsis AI, we access and process data strictly to deliver platform features. Key principles:
- Integration credentials are stored securely using encryption and access controls
- You can revoke access to any connected integration at any time from your workspace settings
- Data from integrations is processed to generate insights, power simulations, and enable AI Agent responses
- We do not share your integration data with other customers or third parties except as described in the "Information Sharing" section below
Data Storage and Security
We use industry-standard security measures to protect your data, including:
- Encryption in transit and at rest for all stored data
- Strict access controls and logical isolation of customer environments
- Secure credential handling and continuous monitoring
- Regular security audits and automated backups

Data Retention and Deletion
We retain your data while your account is active or as needed for business and legal purposes. Specific retention periods:
- Account data: retained for the duration of your account plus 30 days after a deletion request is processed
- Connected integration data: can be removed at any time by disconnecting the source from your workspace
- Conversation data processed by AI Agents: retained according to your workspace settings and configuration
- Website visitor data (contact form submissions, newsletter signups, feedback): retained until you request deletion
- Cookies: expire per their stated durations (1 year for consent, 180 days for functional cookies)
You may request deletion at any time by contacting us at the email listed below. We will process deletion requests within 30 days, except where retention is legally required.
Information Sharing
We do NOT sell, trade, or rent your information.
We may share information only with:
- Service providers who help us deliver infrastructure, analytics, and billing, bound by confidentiality agreements
- Legal authorities when required by law, regulation, or legal process, or to protect our rights, property, or safety

When you use AI Agents, conversation responses are delivered to your customers through the connected channels. This is part of the service you have configured and is not considered sharing with third parties.
